AUGUST 23, 2007

Notes from the Secretary - I just wanted to thank the board for accepting my offer to serve as the PTO secretary this year.  It has been great to work with everyone so far.  I appreciate this opportunity to "give back" to both schools as they provided a great foundation for all three of my boys. 

Notes from the President - I am really looking forward to serving as HAP/FIS Co-President of the PTO this year.   The new board is as follows:

Co-Presidents: Jill Buice and Kim Jones
Treasurer: Cindy Phillips
Secretary: Natalie G. Stubbs

The August 23rd, 2007 PTO Board meeting was called to order at approximately 11:40 a.m. by President Jill Buice and adjourned at approximately 12:40 p.m.  The members in attendance were Jill Buice, Kim Herron, Kiawana Kennedy, Bonita Fluker, Cindy Phillips, Natalie Stubbs, Dana Richmond, Amy Huntley, Candace Braumuller, and Mary Bishop (student teacher to Amy Huntley). 

Jill began the meeting by stating the anticipated outcomes for today's meeting:   

1) Establish an operating budget to meet the need of both schools, and
            2) To discuss upcoming fundraising events, Innisbrook, and the Back to School Blast. 
Jill then called on Natalie Stubbs to summarize the minutes of the prior meeting. 

Reading of the Minutes by Natalie Stubbs: The last PTO Board meeting was held on July 27, 2007.  The following was accomplished/discussed:
1) An estimated proposed budget was set for each school: $10,000 for HAPS and $10,000 for FIS. 
2) The budget for the Back to School Blast was set at $1,000.00.  The event will be held on September    27, 2007 at HAPS from 5:30 to 7:00 p.m.
3) The plans for the Meet the Teacher Event were finalized in terms of the number of tables and volunteers needed.  Best Buy will provide 12 volunteers for birthday club signups. 
4) Planning for Innisbrook continued.  Kirstin Shelley is the representative from Innisbrook serving both schools. 
5) Spirit Wear/PTO Membership Drive
.  The total proceeds to date were presented. 
6) The principals will present the specifics of their Wish Lists to be taken from the proposed operating budget at the next meeting.  Jill will utilize her Best Buy corporate contact and the grant writing skills of Kim Jones's mother to, hopefully, fulfill all needs on the Wish List plus some additional things desired by both schools. 

Principal's Report/Wish Lists:

HAPS: Amy Huntley gave Jill a handout regarding submission of photos for the yearbook.  Jill is still in the process of getting current pictures of the present board for the yearbook and the schools. 

Dr. Kennedy presented the Wish List for Hood Avenue Primary School.  Note was made that funds have already been supplied to the clinic at Hood Avenue for supplies with which to begin the school year.  In addition to the Wish List, Dr. Kennedy stated the need for upgrades to be made the playgrounds at Hood Avenue.  Jill stated that there is now a law requiring benches on the playground for teachers to use and that Kim Jones' mother is a professional grant writer who will do her best to search out grant funding to help with needs such as this.  

Upcoming Events at HAPS:

1. PTO Membership Drive - August 13, 2007 to August 30, 2007. 

2. Innisbrook - August 16, 2007 to September 4, 2007.

3. School Picture Day at HAP - September 16, 2007.

4. Room Parent Meeting - August 30, 2007 at 9 a.m. at HAPS.

5. Curriculum Night - August 16, 2007 at 6 to 7 p.m. for kindergarten and August 23, 2007 at 6 to 7 p.m. for 1st and 2nd grades.   

FIS: Mrs. Herron reported that Mr. Salley has taken a position at another school leaving a vacancy for the assistant principal position.  Diane Forbes is presently serving as the temporary assistant principal.  Mrs. Herron stated the applications for this position are now being screened by the hiring committee, and that she sits on that committee.  Mrs. Herron also presented the Wish List for Fayetteville Intermediate School and reported that the classroom periodicals have already been ordered. 

Upcoming Events at FIS:

1. PTO Membership Drive - August 13, 2007 to August 30, 2007.

2. Innisbrook - August 16, 2007 to September 4, 2007.

3. School Picture Day at FIS - August 31, 2007.

4. Room Parent Meeting - August 30, 2007 at 6:30 p.m. at FIS.

5. Curriculum Night - August 23, 2007 at 6 to 8 p.m. 

The Board wishes to note that the total for the Wish Lists from both schools exceeds the proposed operating budget of $10,000 per school.  However, Jill feels that her Best Buy corporate contacts, as well as additional funding provided through grants written by Kim Jones' mother, will help make up this difference.  Hence, at this time, the Board did not take a final vote on the proposed budget (pending arrival of this additional funding avenues and pending the total receipt of funds from Innisbrook and the membership drive).  Jill stated that the PTO would fulfill funding requests an on item-per-item basis until such a time as we had an accurate accounting of all incoming funds.  If cuts are required, they will be requested at a later time. 

Treasurer's Report:

Cindy stated that the membership drive is going well, and she is still receiving funds for this.  The drive ends August 30, 2007.  Cindy discussed the need for more effective fundraising through the Box Tops program.  Amy Huntley suggested using a "commercial" about the Box Tops program on CTV.  Jill states she has a volunteer in mind to spearhead this program and will contact him.  Ms. Fluker suggested making this a grade-level initiative between pods with a reward for the pod doing the best job.  The group decided to supple each classroom with a zip lock bag designated and decorated for the Box Tops collection. 

Committee Reports:

Spirit Wear: Trelawney Bundrage will serve as the spirit wear coordinator.  Notices of four dates for the sale of spirit wear will go out throughout the year (August, October, . 

Pumpkin Walk: Dana Richmond stated that both schools plan to participate in the Pumpkin Walk in October.  She is presently just waiting to hear from Fayetteville's Mainstreet group when the exact date is and will relay this information to the board as soon as she has it.  Mrs. Fluker stated the pumpkins will be displayed in the area between the schools prior to transportation to the Court House.  Jill stated there is a $200 prize given by the Mainstreet group for the best "pumpkin patch" at the Court House.  She wants to get this word out to the students and their families to encourage greater participation and interest in winning that prize for our schools. 

A/B Honor Role Coordinator: Dana Richmond will also serve as the A-B Honor Role Coordinator

PTO Faculty Representatives: Amy Huntley will serve as the faculty representative from HAPS for the 2007-08 school year.  Candace Braumuller will serve as the faculty representative from FIS for the 2007-08 school year.  

President's Report:

1. Wish Lists - Jill had requested "Wish Lists" from both schools that were provided at this meeting by both Dr. Kennedy and Mrs. Herron.  Both wish lists exceed the $10,000 projected budget.  Jill did not seek a final vote on the budget at this time.  She is hoping the Teach Award from Best Buy and grants written by Kim Jones' mother will actually provide the additional funds to cover both wish lists.  A final vote will be taken at a later date when final proceeds from these efforts, as well as fundraisers in progress, have been totaled.  Any necessary cuts will be made at that time, and a final vote taken. 

2. Room Parent - Jill stated that room parent training will be held on August 30, 2007 in two sessions, 9 a.m. at Hood Avenue and 6:30 p.m. at FIS.  Cindy Phillips and Natalie Stubbs are putting together the training manuals and other necessary materials.  Refreshments will be provided by the Board. 

3. Back to School Blast and Barbecue - Jill stated that planning and donations for the event to be held on September 27, 2007 from 5:30 to 7:30 p.m at HAPS are well under way.  Jill asked Dr. Kennedy if the food could be served out of the gymnasium at Hood Avenue.  Presently, this is the plan.  Jill is working with DynaGym as the equipment vendor for this event.  Jill stated that she hoped to raise an additional $1200 profit from this event. 

4. Innisbrook - Jill stated that this event is well underwent and due to end on September 4, 2007.  She will place a large basket at each school to collect the envelopes back.  She will work out the details of the actual delivery to the schools in October.  The orders have to be processed and turned in by September 17.  The anticipated date of delivery is October 18.  The final counting of funds and processing of the orders will take place on September 5, 2007 in the FIS conference room. 

5. Grade-Level Coordinators - Jill stated that the PTO Board needed the names of the faculty members that would serve as grade-level coordinators.     

Dr. Kennedy and Mrs. Herron supplied the following names.  At Hood Avenue, the faculty grade-level coordinators will be Ms. Wendy Jones (Kindergarten), Ms. Connie Perkins (1st), Ms. Susan Grace (2nd), and Ms. Connie Weddle (special areas).   

At FIS, the faculty grade-level coordinators will be Ms. Sherry Mendoza (3rd), Ms. Sherese Floyd (4th), Ms. Roberta Haren (5th), and Judy Pearson (special areas).   

Old Business:  Publish budget numbers or attached sheets to minutes to keep in book.   

Next Meeting: The next business meeting will be held on September 20, 2007 at 7 p.m. in the Hood Avenue Primary conference room.
